We collect only the information needed to deliver and manage our services — including contact details, billing and payment data, system usage logs, business and employment information, and communications history.

We do not intentionally collect sensitive data such as race, religion, or health information.

Our websites may also collect limited technical data (e.g., IP address, browser type, and cookies), which you control via the cookie-consent banner or browser settings.

In addition, we collect limited business and payment information from participants in the jenX Partner & Connector Program. This may include name, email address, payment account information, or tax ID details, used solely for verification, compensation, and compliance purposes under applicable privacy laws.

Your data is used to deliver services, manage accounts, process payments, recruit and manage team members, send relevant communications, maintain security, and meet legal obligations. If you participate in the jenX Partner & Connector Program, your data may also be used to verify eligibility, process referral compensation, and provide required compliance notifications.

We apply the principle of data minimization, keeping only what’s required for legitimate business or legal purposes.

We share data only with trusted service providers and partners under written confidentiality agreements — for example, Google Cloud, AWS, Stripe, Meta, or LinkedIn.

Some information may be transferred between the United States, the Philippines, and other jurisdictions where jenX or its service providers operate. These transfers are made using lawful safeguards such as Standard Contractual Clauses (SCCs) or equivalent mechanisms recognized under GDPR and similar frameworks. This includes Partner and Connector data, which may be processed in the United States or the Philippines solely for lawful business, payment, or compliance purposes.

We use encryption, access controls, firewalls, multi-factor authentication, and employee confidentiality agreements to protect data. If a breach occurs, jenX investigates immediately, mitigates risk, and notifies affected individuals as required by law. This applies to all personal and business data we handle, including client, team member, and Partner & Connector information.

Data is retained only as long as necessary and securely deleted or anonymized afterward.

Primary processing occurs in the United States and the Philippines within secure, access-controlled environments.

International transfers rely on SCCs, adequacy decisions, or explicit consent, and are reviewed regularly to ensure compliance with evolving privacy regulations.

🟧 1. Overview & Scope

This Notice explains how jenX Global Partners (“jenX”) collects, uses, stores, and protects the personal data of all applicants, contractors, and virtual assistants who apply or are engaged through jenx.ai. It applies to individuals in the United States and the Philippines. It supplements the main jenX Privacy Policy and governs data collected through applications, interviews, and onboarding activities. Clients using jenX services are covered by the general Privacy Policy, not this Notice.

jenX collects only the data necessary to evaluate and manage applicants and contractors. This includes names, contact details, work and education history, identification documents, payment and tax information, project data, communications, and system access logs. Sensitive data (such as race, religion, or health information) is not intentionally collected unless required by law. All such data is handled confidentially and securely.

We collect information directly from you (e.g., applications, resumes, interviews, forms), automatically through system logs or cookies, from lawful third-party sources (such as reference checks or credential verifications), and from internal jenX records during active engagement. In some cases, publicly available professional information (e.g., LinkedIn) may be reviewed for legitimate recruitment purposes.

jenX processes data for legitimate business purposes: to recruit, evaluate, and onboard applicants; manage contractor relationships; process payments; maintain compliance; ensure data security; and analyze performance. Processing is based on consent, contractual necessity, legal obligation, or jenX’s legitimate business interests. jenX does not make automated hiring or engagement decisions and applies the principle of data minimization, collecting only what is necessary.

jenX shares applicant and contractor data only when necessary to operate lawfully and effectively. This includes authorized personnel, service providers, payroll processors, IT vendors, and legal or regulatory authorities. Data may be transferred securely between the U.S., the Philippines, and other jurisdictions under Standard Contractual Clauses, data-transfer agreements, or equivalent safeguards. While we use industry-standard safeguards, no system is 100% secure. jenX does not sell or trade Applicant or Contractor personal data.

Applicant records are typically retained up to 24 months (or as required by law) and then deleted or anonymized. Contractor data is retained for the duration of engagement and as needed to comply with tax or legal obligations. All data is stored in secure cloud systems with encryption, authentication, and access controls. jenX conducts regular audits and trains staff on confidentiality and cybersecurity. In the event of a data breach, jenX will act swiftly to mitigate and notify affected individuals as required by law..

🟧 8. Engagement Disclaimers & Employment Status

Submitting an application or participating in recruitment does not create an employment or contractor agreement. Employment in the U.S. is at-will; contractors in the Philippines or other jurisdictions act as independent professionals responsible for their own taxes and compliance. jenX may, at its discretion, offer certain benefits or stipends, but such offerings are voluntary and non-contractual. All engagements require a written agreement signed by an authorized representative.

🟧 9. Applicant Representations & Withdrawal Rights

By applying, you affirm the accuracy of your information and authorize jenX to verify employment, credentials, or references. Applicants may withdraw their application or request deletion of data anytime by emailing [email protected]. jenX may decline or discontinue applications based on business needs or suitability. With consent, jenX may retain your information for up to 24 months for future opportunities.

🟧 10. Governing Law & Dispute Resolution

This Notice is governed by Texas law. U.S.-based disputes are subject to mediation first, then binding arbitration in Bexar County, Texas under AAA Commercial Rules. For Philippine-based contractors, local law applies alongside this framework. Cross-border disputes may be resolved in Texas while maintaining compliance with Philippine regulations. All claims must be brought individually—no class or collective actions are permitted.

By submitting your application or information to jenX, you acknowledge and agree to this Notice and the main jenX Privacy Policy. You consent to data processing, credential verification, secure transfer between jurisdictions, and retention for lawful business purposes. You may withdraw consent at any time, but doing so may limit consideration for future opportunities.
